About the Role :

The role is with WSP’s London-based Stations team with responsibilities to support the UK wide Stations Team.

A typical week would include :

  • Supporting the project management team in the planning, control, delivery and completion of specific tasks within major projects
  • Updating project progress and deliverable tracking spreadsheets and produce regular progress reports
  • Developing presentation material using Microsoft project, Visio and Word
  • Providing administrative support in the development of meeting minutes, meeting agendas and facilities booking
  • Booking hotels and ordering catering in for meetings.
  • Team diary management
  • Providing support for printing, photocopying, collating and binding on request;
  • Responsibility for organising couriers as and when required
  • Responsibility for the monitoring and ordering of all relevant stationery for the team / office as required
  • Coordinating desk moves and maintaining the floor plan of the office
  • Arranging passes and inductions for new starters
  • Assisting with arrangements within the team / office for New Starters e.g, allocation of desk, dealing with IT equipment and furniture queries etc.
  • Raising IT and Workplace helpdesk tickets
  • Order IT equipment for projects, paper and toner for plotter ensuring the POD where these are located is kept tidy
  • Assisting with arranging meeting room bookings and the induction process
  • Assisting with reporting, tracking staff list and data collection
  • Assisting the Location Director with sourcing fire wardens and attending meetings in their absence
  • Maintaining communication distribution lists and organisation charts
  • Supporting the broader team activities as required
  • Coordinating work experience placements
  • Assisting with coordinating social event and external events when attendee numbers too large for WSP office
  • Ad hoc secretarial support ie. formatting
  • We'd love to hear from you if you have :

  • Experience of working in an administrative role; knowledge of Rail / Civil Engineering projects would be beneficial but not essential
  • Outstanding computer literacy
  • Strong oral and written communication skills and the ability to build strong working relationships with clients and staff
  • A good attention to detail
  • Proven experience multitasking
  • Experience of working within the requirements of a Business Management System
  • Experience being detail oriented and highly organised
  • The willingness to travel to other offices / venues may be required as necessary, for meetings and staff conferences / roadshows
  • The ability to work well under pressure, be self-reliant and able to use own initiative
  • Experience working independently, whilst supporting the wider team
  • Experience building relationships with other departments ie. IT and Facilities etc.
  • The ability to adopt a flexible and timely response to change
  • Proven that you can learn from experience and feedback and have an interest in learning new things and developing new skills
  • The ability to prioritise your own workload
  • Vocational qualifications in administration and typing skills
